Organizations often manage software access through emails, spreadsheets, or direct communication with IT. This makes it difficult to know who currently has access to each application, what permission level they have, whether access was properly approved, and when it should be changed or removed. Tracking access changes over time can also become challenging without a centralized record.
The Software Access Management solution centralizes the entire software access lifecycle. Employees can request new access, changes to existing permissions, or access revocation, while managers review requests and IT administrators process approved changes.
Current access is maintained in a centralized register, making it easy to view software access by employee or application. Related requests remain connected to each access record, providing a clear history of access changes, while expiration tracking and automated notifications help identify access that requires attention.
Key Features
- New, Change, and Revoke Requests — Manage different types of software access changes through a single request process.
- Application-Specific Access Levels — Display the appropriate access levels based on the selected application.
- Manager Approval — Route requests for approval before access is granted or changed.
- IT Provisioning — Send approved requests to the responsible IT administrator for implementation.
- Centralized Access Register — Maintain a current record of employee applications, access levels, expiration dates, and statuses.
- Access by Application — See which employees currently have access to a specific application.
- Access by Employee — Review all applications and permission levels assigned to an employee.
- Access Request History — Track the original request and subsequent changes associated with each access record.
- Expiration Tracking — Identify software access that is approaching expiration or has already expired.
- Automated Notifications — Notify managers, employees, and IT administrators when action is required.
- Validation and Permissions — Ensure required information is provided and restrict access based on user roles.
How It Works
1. Submit an Access Request
Employees submit a request for New Access, Change Access, or Revoke Access. The form automatically adjusts the required fields based on the selected request type.
2. Review and Approve
The employee’s manager reviews the request and either approves or rejects it. Approved requests are automatically forwarded to the responsible IT administrator.
3. Process the Request
IT completes the requested change in the appropriate application and confirms the action in the system.
4. Maintain Current Access
New access is added to the centralized Software Access register. Changes and revocations update the existing access record, keeping current access information accurate without creating duplicate records.
5. View Access and History
Software access can be reviewed by employee or application. Each access record also includes its related request history, making it easy to track how access has changed over time.
6. Monitor Expiration
The system identifies access that is approaching expiration or has already expired and sends notifications when follow-up action is required.
Benefits
- Maintain a clear view of who has access to company applications.
- Keep software access requests and current access records connected.
- Reduce manual communication between employees, managers, and IT.
- Preserve a traceable history of access approvals and changes.
- Identify expiring and outdated access in a timely manner.
- Apply a consistent process for granting, changing, and revoking access.
