How it works

Course catalog

The system maintains a structured course catalog as a standard SharePoint list — capturing course name, level, language, description, start and end dates, and active status. Color-coded active status indicators give administrators an at-a-glance view of which courses are currently available for enrollment. The catalog is the single source of truth for all course offerings, updated in one place and reflected immediately in the student registration form.

Student registration form

Students complete a structured registration form — accessible from the institution's website or intranet — capturing their personal information, contact details, and address alongside their course selections. Connected Lookup columns link the registration form directly to the course catalog, allowing students to choose from the currently available courses without the form needing to be manually updated each intake period. Multiple courses can be selected in a single submission, and students can add comments or specific requests as part of the same form.

Enrollment management dashboard

Administrators have access to a centralized enrollment management dashboard built on top of the registration list. All submitted registrations are visible and filterable by course, level, start date, or registration date — giving an accurate, real-time picture of enrollment activity without manual data consolidation. Course popularity, individual student course loads, and registration completeness are all visible from the same interface.

Automated notifications

Confirmation emails are sent to students automatically on successful registration submission, acknowledging their enrollment and providing any relevant next steps. Administrators receive alerts when new students register, ensuring that no submission goes unnoticed regardless of intake volume. Additional notifications — reminders, approval requests, or follow-up communications — can be configured using Ultimate Forms Alerts and Actions without any development work.
