Product orders managed through email, phone, or informal contact forms give sales and fulfillment teams an inconsistent record of what was ordered, in what quantity, at what price, and under what delivery and payment arrangements. Order details arrive without a structured breakdown. Shipping and billing addresses are described informally. Payment method and shipping preferences are unstated until follow-up. Without a structured, centralized order intake process, fulfilling orders accurately and efficiently requires more coordination than it should.
The Product Order template for SharePoint, built with Infowise Ultimate Forms, provides a structured order form that captures customer contact details, full shipping address, itemized order line items with automatic subtotal calculation, preferred delivery date, payment method, billing address, discount code, tax or VAT number, shipping method, and any special instructions. Every order is stored as a complete, actionable record in SharePoint.
How it works
Customer and contact details
The form captures the customer's full name, company name, email address, and phone number. Consistent contact capture across every order ensures the fulfillment and accounts teams have the information needed to confirm the order, follow up on delivery, and issue invoices without additional back-and-forth.
Shipping address
A dedicated shipping address section captures the full delivery address including street address, city, state or province, postal or ZIP code, and country. Capturing the shipping address in a structured format at the point of order ensures that the fulfillment team has an unambiguous delivery destination without needing to interpret informally described locations.
Itemized order details and subtotal
Order items are entered as individual line items, with each item capturing the product details and quantity. The subtotal is calculated automatically across all line items, updating as items are added. This structure ensures that every order record is itemized and ready for fulfillment from the moment of submission, rather than requiring the fulfillment team to parse a free-text description of what was requested.
Delivery date and shipping method
The form captures the customer's preferred delivery date and their preferred shipping method. Capturing both in structured fields at the point of order gives the fulfillment team the scheduling and logistics information needed to plan dispatch without a separate conversation about delivery preferences.
Payment and billing details
Structured fields capture the payment method, billing address, and optionally a discount code and tax or VAT number. Capturing payment and billing details within the order record at the point of submission ensures that the accounts team has everything needed to process payment without requesting this information separately after the order is placed.
Special instructions
A comments and special instructions field gives the customer the opportunity to communicate any requirements relevant to their order — packaging preferences, delivery access instructions, specific handling requirements, or any other context the fulfillment team should know before dispatch.
