Sponsorship applications submitted through email or informal conversations give event organizers and program managers an inconsistent record of the sponsoring organization's objectives, budget, branding requirements, and preferred agreement terms. Goals are not documented alongside the proposed budget. Evaluation preferences are unstated. Prior sponsorship experience is not disclosed. Without a structured, centralized application process, assessing sponsorship proposals consistently and negotiating agreements efficiently requires more effort than it should.

The Sponsor Application template for SharePoint, built with Infowise Ultimate Forms, provides a comprehensive application form that captures organization details, sponsorship goals and budget, marketing and recognition preferences, prior sponsorship history, evaluation and reporting requirements, agreement terms and duration, and supporting document uploads. Every application is stored as a complete, reviewable record in SharePoint.

How it works

Organization details

The form captures the date of submission alongside the sponsoring organization's name, the contact person's name and title, the organization's website, email address, phone number, and organization type. Capturing these details consistently across every application ensures the events team has a reliable, complete record of each prospective sponsor and a clearly identified point of contact for follow-up and negotiation.

Sponsorship goals and budget

Three open-ended fields ask the applicant to describe the organization's objectives for the sponsorship, explain how the sponsorship aligns with the organization's mission and values, and identify the specific outcomes they hope to achieve. A proposed sponsorship amount field and a negotiability indicator capture the financial parameters of the proposal, giving the events team the information needed to assess fit and open package discussions without a separate budget conversation.

Marketing and recognition preferences

A structured recognition preferences field captures how the organization would like to be promoted and recognized as a sponsor. A free-form branding and marketing requirements field gives the applicant the space to specify any specific brand guidelines or placement requirements. Capturing these preferences at the application stage ensures that the events team can assess whether the sponsorship package can accommodate the sponsor's expectations before committing to an agreement.

Prior sponsorship history and impact measurement

The form asks whether the organization has sponsored similar events or programs in the past, with a follow-up details field for those that have. An impact measurement preferences field captures how the sponsor would like to track and measure the return on their sponsorship investment, alongside a field capturing whether post-event reports or updates are required. Documenting evaluation expectations at the application stage prevents misalignment about reporting obligations after the agreement is signed.

Agreement terms and duration

A terms and conditions field gives the applicant the opportunity to specify any particular requirements they want included in the sponsorship agreement. The sponsorship agreement duration is captured through start and end date fields, providing the events team with the proposed commitment period at the point of application. A final comments field captures anything the applicant wants to add or clarify, and a file upload field allows supporting materials to be attached directly to the application record.
