Work abroad applications submitted through email or informal channels give recruitment agencies and international placement organizations an inconsistent record of each applicant's identity, travel document status, language capabilities, and visa eligibility. Passport details and expiry dates are not captured alongside the job preference and motivation. Visa or work permit status is not confirmed at the point of application. CVs arrive without the contextual information needed to place the candidate efficiently. Without a structured, centralized application process, assessing and matching international candidates requires more effort than it should.
The Work Abroad Application template for SharePoint, built with Infowise Ultimate Forms, provides a structured application form that captures the applicant's personal details, date of birth, gender, nationality, passport number and expiry date, full contact information, language skills, destination country preference, visa or work permit status, job preference and motivation, preferred working period, a required CV upload, and an optional cover letter. Every application is stored as a complete, reviewable record in SharePoint.
How it works
Personal and identity details
The form captures the applicant's full name, date of birth, gender, and nationality alongside their passport number and passport expiry date. Capturing travel document details at the point of application gives the placement team an immediate view of each candidate's identity and travel document validity without requesting these details separately, and allows the team to flag applications where the passport may expire during the intended working period before the candidate is placed.
Contact information
A full contact section captures the applicant's phone number, email address, and complete home address including street address, city, state or province, postal or ZIP code, and country. Consistent contact capture across every application ensures the placement team has a reliable point of contact for each candidate throughout the application and placement process.
Language skills and destination preference
A language skills column captures which languages the applicant speaks, providing the placement team with an immediate view of the candidate's communication capability in the context of the destination country and the role requirements. A destination country preference column captures where the applicant would like to work, enabling the team to match candidates to available opportunities in the appropriate market from the outset.
Visa and work permit status
A required visa or work permit column captures whether the applicant already holds valid documentation for the destination country, with a details column for those who do. Capturing visa eligibility at the application stage is a fundamental prerequisite for international placement and allows the team to prioritize candidates who are immediately work-eligible while identifying those who require support with documentation.
Job preference, motivation, and working period
The form captures the type of job the applicant wants to apply for, their motivation for applying, and the period for which they would like to work in the role. Capturing job preference and motivation together gives the placement team insight into the candidate's priorities and commitment level, while the preferred working period provides the scheduling context needed to match candidates to available positions with the appropriate duration.
CV and cover letter
A required CV upload column ensures that every application record includes the candidate's curriculum vitae, linked directly to the application in SharePoint. An optional cover letter column allows candidates who wish to provide additional context to attach one alongside the CV, all within the same application record.
