Gift Selection Voting

Choosing a group gift by email or chat thread produces a disorganized record of preferences with no reliable tally and no guarantee that everyone has had a chance to vote. Options get lost in the thread, some people vote twice, others miss the message entirely, and arriving at a clear result requires someone to manually count and consolidate responses.

The Gift Selection Voting template for SharePoint, built with Infowise Ultimate Forms, provides a structured way to propose gift options for a recipient, collect one vote per team member using buttons inside the form, and display the running vote totals directly in the list view. The process is transparent, participatory, and requires no manual counting.

How it works

Setting up the gift record

A coordinator creates a new item capturing the customer name, the recipient the gift is intended for, the due date by which a decision needs to be made, the occasion, and up to three gift options. Up to two gift options are required; a third is optional, providing flexibility for cases where a clear shortlist has already been identified.

Voting inside the form

Once the record is created and shared with the team, each participant opens the item and votes for their preferred gift option using action buttons directly inside the form. The form tracks who has voted and prevents any user from submitting more than one vote, ensuring the tally reflects one vote per person regardless of how many times the item is opened or viewed.

Live vote totals in the list view

The SharePoint list view displays the number of votes recorded for each gift option alongside the item record. Participants and coordinators can see the current standings at a glance without opening the form, and the totals update in real time as votes are cast. When the due date arrives, the result is already visible in the list without any manual consolidation.

Built on standard SharePoint lists

The Gift Selection Voting system is built entirely on standard SharePoint lists. There is no external data storage and no custom interface. All voting records stay inside your SharePoint environment, governed by your existing permissions and data policies. The system can be extended or adapted at any time in the browser by the administrator who manages the site.
