How it works

The order form

Staff complete a structured order form to request food and drinks for delivery to a specified location. The form captures everything needed to fulfill and authorize the order: the items requested, the delivery location, the event or occasion it relates to, and a business justification. Orders can be placed for meetings, conferences, guest visits, or any other occasion requiring catering.

Product item management

The template includes a managed list of available product items. Order forms reference this list, ensuring that what staff can select is controlled and current. When items change — new additions, discontinued products, or updated pricing — the product list is updated in one place and the change is reflected in the order form immediately.

Automatic cost calculation

As items are selected and quantities are entered, the order form calculates the total cost automatically. There is no manual totalling, no need for a separate spreadsheet, and no risk of arithmetic errors. The calculated total is captured as part of the order record, giving finance and management an accurate cost figure without any additional processing.

External accessibility

The Food Order Form system is built entirely on standard SharePoint lists. There is no external data storage and no custom interface. All order records and product data stay inside your SharePoint environment, governed by your existing permissions and data policies. The system can be extended or adapted at any time in the browser by the administrator who manages the site.
