Training requests managed through informal conversations or email lack the structure needed to evaluate them consistently. Managers receive requests without the context to assess relevance or eligibility. There is no central view of what training is being requested across the organization, no record of what was approved or declined, and no way to identify patterns in training needs by role or department.
The Training Registration template for SharePoint, built with Infowise Ultimate Forms, gives employees a structured way to submit training requests and gives managers the information they need to evaluate each request against the employee's role and eligibility — with every submission and decision stored as a record in SharePoint.
How it works
The registration request form
Employees submit a training registration request through a structured SharePoint form. The form captures all the information needed to initiate the evaluation process — the training being requested, its relevance to the employee's role and duties, and any other details required to assess eligibility. The structured format ensures that every request arrives with the same level of information, regardless of who submitted it or how they prefer to communicate.
Manager evaluation
Once submitted, the request is available for evaluation by the employee's manager. The manager reviews the training details and the employee's stated justification in the context of their role and duties, and makes a determination on eligibility and approval. The entire evaluation takes place within the SharePoint record — no separate email thread, no informal conversation that leaves no trace.
A centralized training request record
Every submitted request is stored in a standard SharePoint list, giving HR and management a complete view of all training requests across the organization — pending, approved, and declined. Requests can be filtered by employee, department, training type, or status, making it straightforward to identify patterns in training demand and manage the approval pipeline without manual tracking.
External and anonymous submissions
The form can also be used externally, supporting fully anonymous submissions for scenarios where that is required — for example, when collecting training interest from contractors or external participants without requiring a SharePoint account.

Built on standard SharePoint lists
The Training Registration system is built entirely on standard SharePoint lists. There is no external data storage and no custom interface. The system can be extended or adapted at any time in the browser by the administrator who manages the site.
