Built-in data integrity and privacy

The template is pre-configured with two permission rules that protect the integrity of every submission:

  • Employees can only view their own responses. They cannot see what colleagues submitted. This is enforced automatically by the SharePoint list configuration — no manual setup required.
  • Responses are locked after submission. Once an employee submits their feedback, it cannot be edited. The data you collect is the data that was actually given.

Site administrators have full visibility and can view and manage all responses across the organization.

For organizations that need complete anonymity, the form can also be deployed as an external form, allowing submissions with no identity attached. Useful for sensitive feedback cycles or where trust in the process is still being established.
