User Data

We collect minimal user data for the purposes of licensing and registration. This information includes:

  • Organization name
  • Contact person name
  • Contact person email
  • Contact person phone number
  • Password - for the ability to log into licensing system and view assigned licenses
  • Password reminder (optional)
  • How did you find us?

This information is stored in an encrypted Azure SQL database and is only accessible to authorized employees of Infowise and to the identified contact person of each organization (scoped to that organization only).

The data is used for internal support and licensing and is not shared with external parties.

Data Storage (Microsoft 365 version only)

Customer data is not stored by the product. It is fetched for processing in real time and discarded as soon as the particular process is completed, usually within seconds.

The following data is stored in the long-term storage (Azure Tables and Azure SQL Server):

  • Configurations - settings of alerts, actions, print profiles, etc. These are internal settings of the product and do not contain any user data
  • Delayed alerts - alerts set to be delivered at a later time (business hours, daily/weekly/monthly summaries). The generated alert will be stored, encrypted, in the Azure SQL database and discarded as soon as it's sent. You are able to disable delayed alerts in the app settings, if required.

Cookies (Microsoft 365 version only)

Cookies are not generated by the full suite. Certain stand-alone components use cookies for temporary storage of license check data, without any user-identifying information. SharePoint authentication cookies issued to the product may also be used in some scenarios for data access.

Support

We provide an intergated form for opening support tickets. This form requires you to submit your name and email address. This information is necessary to provide responses for your requests and will not be used for any other purpose. Your information will never be transferred or sold to another company or individual.

Logs (Microsoft 365 version only)

There are two kinds of logs maintained:

  • History - execution history of various components, such as sent alerts, executed actions, etc. These logs contain no user-identifying information and are accessible only by the authorized users within the relevant SharePoint sites. History is intended for tracking successful execution and is automatically deleted after 1 month.
  • Debug - can only be enabled on our side, with customer's permission and intended for resolving issues. Data is only analyzed for the purposes of debugging and is discarded as soon as the support ticket is resolved.

Sharing

We do not share any information collected with any outside companies and/or individuals for any purpose.
