Auto repair quotations produced manually — in Word, Excel, or a generic form — require someone to calculate parts and labor totals by hand, apply tax separately, and then produce a document that looks professional enough to send to a client. Every quote is a fresh effort, with no standardized structure and no central record of what was quoted, to whom, and whether it was accepted.
The Auto Repair Quotation template for SharePoint, built with Infowise Ultimate Forms, provides a complete quotation workflow for auto repair shops and service centers — capturing client and subcontractor details, itemized services with automatic parts and labor totals, tax calculation, and client terms acceptance — with every quote stored as a searchable record in SharePoint and printable as a professional document.
How it works
Quote header and dates
Each quotation captures the issue date and due date — establishing the validity window of the quote and providing the service team with a timeline for follow-up if the client has not responded.
Client and subcontractor lookup
The client is selected from a managed lookup list, with the ability to add new clients directly from within the quotation form without navigating away. Subcontractors involved in the repair can also be selected from a lookup list and linked to the quote record — supporting multi-party job assignments and giving the service team a clear record of who is responsible for which elements of the work.
Itemized services with automatic summaries
The services performed are entered as line items using the Ultimate Forms Associated Items feature — directly inside the quotation form. Each line item captures the service description along with parts and labor costs. As items are added, the totals are calculated and summarized automatically: total parts, total labor, and subtotal are all derived from the line items using Associated Items Summaries, without any manual calculation. Tax is applied automatically based on a configured rate, and the grand total is calculated and displayed within the form — accurate, consistent, and ready to present to the client.
Terms acceptance
A terms accepted toggle allows the client or the service advisor to confirm that the terms and conditions of the quote have been agreed to. This structured acceptance is documented within the quotation record alongside all other quote details — creating a clear record of agreement without a separate document or email exchange.
Printable quote output and notifications
The completed quotation can be exported as a professional PDF using the Ultimate Forms Print feature, formatted with company branding and ready to send to the client. Automated alerts can notify clients or internal teams when a new quote is created or when a quote status changes, without any manual follow-up.
