Timesheets submitted on paper or through email attachments create unnecessary administrative work. Data has to be manually transferred into payroll or HR systems. Errors go undetected until payroll runs. Supervisors approve timesheets without a structured review process, and when a discrepancy is raised weeks later, the original record is difficult to locate and even harder to verify.

The Employee Timesheet template for SharePoint, built with Infowise Ultimate Forms, provides a comprehensive weekly timesheet that captures employee hours in a structured, calculated format — with dedicated sections for overtime and breaks, and sign-off from both the employee and their supervisor — stored as a complete, auditable record in SharePoint.

How it works

Employee identification

Each timesheet begins by capturing the employee's identifying information — name, employee ID, department, and supervisor details. This ensures every record is accurately attributed and that the correct supervisor is associated with each submission for review and sign-off.

Daily time entry

The timesheet is structured around the working week, with a dedicated entry for each day. Employees log their start and end times for each day of the week. Total hours for each day are calculated automatically from the start and end times entered, eliminating manual arithmetic and reducing the risk of errors.

Overtime and break tracking

The form includes dedicated sections for overtime hours, capturing instances where employees work beyond their regular schedule. Break and lunch hours are also recorded, providing a complete picture of time utilization across the working day rather than a simple start-to-finish total.

Employee and supervisor sign-off

The completed timesheet includes dedicated sign-off sections for both the employee and their supervisor. Both parties confirm the accuracy of the recorded hours before the record is finalized, creating a validated, two-party endorsed timesheet stored as a permanent record in SharePoint.
