Internal transfer requests managed through informal conversations or unstructured emails leave HR and managers without a consistent record of why the transfer is being requested, what role the employee is moving into, when the transfer should take effect, and whether the receiving department has been consulted. Skills alignment is not documented. The employee's rationale is not recorded in a format that can be reviewed and acted on systematically. Without a structured, formal process, assessing and approving internal transfers consistently across the organization requires more coordination than it should.

The Employee Internal Transfer template for SharePoint, built with Infowise Ultimate Forms, provides a formal transfer request form that captures the employee's current role and location, transfer motivation, requested transfer date, new position and office location, prior discussion with the receiving department, skills alignment, additional supporting information, and an employee e-signature. Every request is stored as a complete, reviewable record in SharePoint.

How it works

Employee details and current role

The form captures the employee's full name, employee ID, current department, current position, email address, phone number, and full office location including street address, city, state or province, postal or ZIP code, country, and building or floor or room number. Capturing the current location in full detail is particularly relevant for organizations managing transfers across multiple physical sites, where the logistics of the transition are as relevant as the organizational change.

Transfer motivation

A dedicated motivation field asks the employee to explain why they are interested in transferring to a different department or position within the company. Capturing the employee's rationale in writing at the point of request ensures that HR and the current manager have a documented basis for assessing the transfer against organizational needs and the employee's development interests, rather than relying on a verbal summary.

Transfer details

The form captures the requested transfer date, the new position or job title, and the new office location. Documenting these details in structured fields at the point of request gives the HR team the information needed to plan the transition, coordinate with the receiving department, and update employment records without requiring a separate discussion to establish basic logistics.

Prior discussion and skills alignment

A field captures whether the employee has already discussed the transfer with the supervisor or manager of the receiving department. A skills alignment field gives the employee the space to explain how their current skills align with the requirements of the new role, providing the HR team and the receiving manager with a self-assessment that can be compared against the role's requirements during the review process.

Additional information and e-signature

A free-form additional information field gives the employee the opportunity to provide any further context in support of the transfer request. The form closes with the submission date and the employee's e-signature, creating a formally documented transfer request without any paper-based process.
