Defaults and Rules Settings

IMPORTANT: The following documentation is for Classic Forms interface only. Forms generated in Form Designer use Modern UI which will supersede the Classic Forms settings.

Defaults and Rules Settings allows the user to set initial values for columns as well as rules for setting column values dynamically.

Default Values

You can enter specific values or query string (URL) parameters to determine the default value at run time. You can set different default values for different users/group and/or different content types in the same list.

There is advanced value input available for:

  • Date fields
  • Person or Group fields
  • Yes\No fields
  • Hyperlink fields
  • Managed Metadata

All other fields can be set with a textual value.

You can also map a query string parameter being passed to the form. Note that you would need to supply this parameters in the link leading to the New form.

NOTE: The following may generate validation errors in the UI that you can ignore;

  • Dates can also be added with a [Today] expression. Ignore errors within the date picker. 
  • Person or Group field with a [Me] expression for Current User. Ignore errors with the people picker.

NOTE: You can specify domain user or group that the rule applies to as well as the content type.

Dynamic Rules

Dynamic rules allow you to set values to columns dynamically and automatically, based on text, other column values, functions and expressions and subject to conditions.


For each column, create multiple rules, specifying what value should be set under which conditions, as well as applying the rule for specific users only.

Set values as simple text, column values and functions. Use the Value Picker to build the expression and validate input.

Optionally, add conditions for the rule, compare any column values to text, other columns or functions.

Make sure to only use columns present on the form. Note: Read-only or calculated columns cannot be used for conditions or the value.

Also, specify users or groups for whom the rule will apply.

NOTE: Currently you cannot set values of Person or Group, Managed Metadata and Multiple lines of text columns. Additionally, 3rd party custom columns are not supported.
